Minutes 11/09/10
Attendees: Louise Coulson (Acting President/ Secretary), Skimble (Odd Bod 3), Matthew Skilton (Most Dimwitted Homosapien), Andrew Moran, David Stibbards, Elton Waters, Simon Van Geldar.

Item One - Fresher's Fayre
Fresher's Fayre will be held on the 23rd of September. Setting up starts at 11.30am and volunteers will be needed to help hand out flyers.
Flyers will be printed out on A5 sheets unless money is an issue, in which case bookmarks will be issued instead. Flyers will be finalised by the 18th of September; anyone wishing to submit a flyer design must have e-mailed it to the committee for consideration before this date.
A banner will be made by Louise in order to help advertise the society.
Sweets and bottled water will be bought for the stall, the water being given to the flyer volunteers as refreshments.
Item Two - Intro Week
The opening meeting will be held in RLT1. The annual raffle will have no more than £20 spent on it the a maximum of 7 items to limit the amount of time the raffle takes up in the meeting. £1 vouchers for Westgate games will be handed out along with the raffle tickets.
A series of talks will be held as follows:
Dave – Library Skimble – RPGs James – Wargames Andrew – Cards
After the meeting, games will be held in the cloyster rooms with one room reserved for card and board games and the others for anyone who is interested in running a one-off game.
As part of Intro Week, a series of introductory sessions will be held throughout the first teaching week depending on volunteers to help run them. We will need people to help with a Wargame night, RPG introduction night, and card/ board games night. The week will end on the 2nd of October with a walk into town to show new members around, then walking back up to campus for a barbecue on the green behind Eliot college (depending on weather).
Item Three - Gamecon
Gamecon will be held over 2 days. The activities discussed to be held over Gamecon are as follows:
A Magic the Gathering tournament One room reserved for board games A Wargame tournament
If Rock Band is brought to the event, it will only be permitted to be set up for one of the two days in order to encourage people to participate in the other activities at Gamecon. Skimble will be contacting the gaming society in Medway.
Item Four - Changes to the Society
A clause will be added to the constitution detailing the procedure for when the President steps down from his position
Item Five - Website Content
The committee will each write a blurb to explain their position
A map with directions to Westgate Games will be placed on the website
Item Six – Presidency/ Librarian
The committee has voted four to and none against that the society will carry on as usual. AGM will be held on the 3rd weekend of term (9th of October) and called two weeks before that, and that Louise Coulson will take over as acting President due to being the only available member of the core committee.
Ryan Speak may be stepping down as librarian. In this event, Dave Stibbards will take over the position until a new librarian is elected.
Any Other Business
Westgate Games is open for anyone to drop in and be social as long as the customers are not scared away. This will be of benefit to anyone who wishes to ask about games in more detail.
T-shirts will be made for the society by Elton. The cost to buy will be £15 per t-shirt with £1.50 of this going directly to the society.
LARP - A LARPing event will potentially be held on campus. The committee has decided that anyone participating in this will be required to pay an upfront fee for the year in order to cover insurance costs, plus a small charge for each game attended. The Student Union will be asked on its insurance position for outside games being held on campus. Members of the IoD LARPing group will be required to sign up as associate members in return for room bookings given to them without charge during term time.
Money/ Treasurer – Fund requests need to be handed in the term before they are needed, and this funding must be spend as it will not be rolled over to the next term. Ben Goodger must be at the next committee meeting (Saturday the 18th of September at 3pm in the Westgate Wetherspoons) and has been asked to declare what he has and has not done duty-wise or his position will be up for review.
