Committee Meeting 14th June 2008

Committee Present

Roo (President), Kim (Treasurer), Adam (Dumbest Homo Sapien), James (Senior Member)

Item One: Consitution

Needs to be adjusted and updated to meet current KU standards. The committee members section will be amended to include the three execs and the three co-opted members (Senior, Skimble, Librarian, Webmonkey, any remaining Dictators for Life). Roo is going to sort out a new proposed constitution for presentation to and approval by the members.

Item Two: Summer Socials

It will not be possible to book rooms on campus over the summer vacation but the next board game social is due to take place on the 21st June. Suggestions for off-campus locations included the Dolphin pub and Coffee and Corks in town. It was decided to trial run the next social in Coffee and Corks from 2pm onwards on Saturday. Roo has advised C&C of the impending invasion of their establishment and they are happy to have us but advised that they cannot do anything if they are full anyway on the Saturday.

There has also been a proposal to run some one-off taster games over the summer. Danov has volunteered to run a brief series of Savage Worlds one-offs on Saturdays, and a day of Hunter: The Reckoning. James' games are continuing regardless. Roo will also try to put something together.

Finally, we will attempt to put together some random meetup socials such as coffee shop crashes or a bar crawl if the members would like one. More details to come.

Item Three: Fresher's Fair

Presumed date is the 25th September, but this requires confirmation from KU. In conjunction with Anime, SFX and Visual Culture we will attempt to place ourselves in the planned 'nerd alley.' Skimble has advised that he is available for manning the stall and taking membership details (we need to confirm with KU how the formal procedure for taking money is going to work). Obviously this depends on confirming the date.

Costumes are encouraged for everyone who wishes to be there on the day, and obligatory for voting committee members. Although we won't have much space, we would like some posters and books etc to decorate the area. Kim still has plenty of posters left over from AGS Con which takes care of that. Other committee members have agreed to lend various bits and pieces for the stall. Better to have too much than too little.

It would also be nice to have some back copies of Dragon Droppings for people to browse, if possible. Finally, we will need flyers. We're going to use the bookmark style ones again. James can provide photocopying facilities and even design the flyers if necessary, given sufficient advanced notice. Roo is going to contact Terri to see if she has the design from last year to use as a base.

Item Four: Introductory Meeting

Will take place the Saturday after Fresher's Fair at 2pm in Rutherford LT 1 (pending booking). The order of events will be as follows (each little talk should be only about two or three minutes MAXIMUM so as not to bore people).

Those games run by GMs who do not need players should be announced on the mailing list before the introductory meeting so they can be pre-recorded onto the games master sheet to plump it out a bit. Only games requiring players should be announced during the meeting: GMs will then be required to give a short speech explaining and 'selling' their games to the new members.

Item Five: Forum Clutter

There are a lot of out of date posts on the online AGS forums which are cluttering up the board, not to mention the flame-war style threads such as the infamous one about our secretary Terri. This doesn't look great for the freshers now joining up so it's been decided to have a clearout. Roo to email Skimble about deleting the out-of-date threads.

edit 4/6/08: it is Andy, not Skimble, who should have been the first point of contact for this, but after the president's very severe Stupid Moment the forum problem is now on the way to being resolved

Item Six: Main Events

Introductory meeting as above.

First social: the following Saturday. Meet up ~2pm on campus somewhere, take fresher's downtown to show them Incognito and Westgate Games, then into C&C for board games and general jabbering.

Christmas party: will take place December-ish (on pain of unpleasantness!) in the entirety of the Missing Link. More information to follow nearer the time. Room booking as early as possible.

AGS Con: will take place on Saturday 7th March in the Spring term, upstairs in the Keynes teaching area. More information to follow nearer the time. Room booking as early as possible.

AGS Quiz: will take place on Saturday 21st March in the Spring term, most likely in RLT1. Skimble has said he is once more happy to run this. More information to follow nearer the time. Room booking as early as possible.

First 'regular' meeting: 4th October upstairs in the Keynes teaching area. This will be the first of the normal 'weekly meetings' which will replace the board game social. As well as some board and card games, we hope to run a regular wargame tournament of some description (Dave S and James are working on this) along with some regular one-off tabletop RPGs. It is possible a small budget can be allocated for wargame terrain. Danov has also offered to run a Bloodbowl league if there is sufficient interest. With any luck this will boost attendance as well as the general social aspect of the society.

Any Other Business

Our LARP activity is pathetic. Although we've scrapped the LARP Christmas party due to organisational issues, it would still be very good to run a couple of freeform one-off LARPS during the year. However GMs for LARPing are in low supply at present: if anyone knows of somebody who would be willing to step in to do this please email Roo.

It has been suggested that running a game of Killer in the Autumn term as an icebreaker for freshers (with the committee of course as prime targets!) would be a good addition to the early game lineup. Roo is to discuss with Andy the possibility of this happening.
